Bulk Attachment Migration Tool

Bulk Attachment Migration Tool also referred to as SharePoint Security Sync Tool enables you to migrate attachments in bulk and relatively take less time.

Pre-requested: - .NET Framework 4.6.2 or above.

How to use Bulk Attachment Migration Tool?

  • Download and install Bulk Attachment Migration Tool in your system. You can download the tool here. ​

  • After installing, click on the Bulk Attachment Migration Tool / SharePoint Security Sync Tool icon to open the tool.

  • Select the deployment type as ‘Office 365’ and fill in the following details in the given fields.

  • Display list of available organizations: Enable the checkbox in case of multiple organizations in CRM.

    • Online Region: Select the respective region.

    • Username: Use the CRM username.

    • Password: Use the CRM password

    • After filling all the details click on ‘Login’.

Note: You will only be able to use this tool if you are a Microsoft Dynamics 365 CRM Admin.

Bulk Attachment Migration Tool Functions

Once logged in, you will find details of all the configured connectors. Select any one of the connectors for which you want to migrate the attachments. If more connectors are added, then click on the ‘Refresh’ button on the top to update connector details.

Let’s see how to migrate the attachments to the respective cloud storage:

  • First click on the respective SharePoint Site or Azure Blob Storage.

  • After clicking on respective cloud storage, either SharePoint or Azure Blob Storage, one new tab will be displayed –Attachment Migration.

You would need to select the following fields to migrate historical attachments from Dynamics CRM to SharePoint or Azure Blob Storage in bulk:

  • For?: Specify whether you want to migrate Notes/ Activities/ Sales Literature Attachments or Email Body Content in bulk.

  • Entity: Select the Entity for which you want to migrate attachments.

  • Action: Select either 'Copy' or 'Move'.

  • From: Enter the date from which you want to start the bulk migration.

  • To: Enter the end date till which you want to do the bulk migration.

Note:

  1. You must create an entity configuration before using this tool, for which you want to migrate attachments in bulk.

  2. For Email Body Content bulk migration, the Email Entity Configuration must be done beforehand.

  3. If "Regarding" is set for Activities, the associated Entity Configuration must be created.

Example 1:

In case, if you as a user wants to migrate Note Attachments from Dynamics 365 CRM to the selected connector i.e. SharePoint in this example, then you would have to select the following fields:

  • For?: Select Notes.

  • Entity: Select the Entity for which you want to migrate the Note attachment. In this example, we have selected Account.

  • Action: Select either 'Copy' or 'Move'.

  • From: Enter the date from which you want to start the bulk migration.

  • To: Enter the end date till which you want to do the bulk migration.

  • And click on Proceed.

Example 2:

In case, if you as a user want to migrate the Activity Attachments from Dynamics 365 CRM to the selected connector i.e. SharePoint in this example, then you would have to select the following fields:

  • For?: Select Activities.

  • Entity: Select the Entity for which you want to migrate the Activity attachment. In this example, we have selected Email.

  • Action: Select either 'Copy' or 'Move'.

  • From: Enter the date from which you want to start the bulk migration.

  • To: Enter the end date till which you want to do the bulk migration.

  • And click on Proceed.

Example 3:

In case, if you as a user wants to migrate Email Body Content from Dynamics 365 CRM to the selected connector i.e. SharePoint in this example, then you would have to select the following fields:

  • For?: Select Email Body Content.

  • From: Enter the date from which you want to start the bulk migration.

  • To: Enter the end date till which you want to do the bulk migration.

  • And click on Proceed.
