# Backups

Backup4Dynamics allows administrators to protect Dynamics 365 CRM and Dataverse data through scheduled and manual backup operations. The backup feature enables granular selection of entities and records to back up, with support for incremental backups of newly added or modified data. Backups are stored in customer-owned Azure storage accounts, providing complete control over backup data retention and security policies.

#### Backup Schedule

The Backup Schedule feature allows administrators to configure automated backup operations at regular intervals.

#### Configure the Backup Schedule

Backup4Dynamics uses a guided setup flow to configure scheduled backups. The configuration process is completed in four stages: Storage, Connections, Entities, and Schedule. Complete each stage carefully before activating the backup schedule.

#### **Start Backup Schedule Configuration**

From the Backup4Dynamics Home page, select Set up backup schedule. This opens the guided configuration flow.

#### **Stage 1: Configure Storage**

The Storage step defines the Azure storage location where Backup4Dynamics writes backup data. Select the appropriate Azure subscription and choose whether to create the storage resources through Quick setup or use existing resources through Manual setup.

#### **Quick Setup**

* Select the required Azure Subscription.
* Select Quick setup (recommended) when Backup4Dynamics should create the required Resource Group and Storage Account as part of the configuration.
* Select the required Region.
* Review the Resource Group and Storage Account values. The application indicates when an existing resource will be reused.
* Review the Container name used for backup data.
* Select Next to continue to Connections.

#### **Manual Setup**

Select Manual setup when you want to use an existing Resource Group and Storage Account instead of having the application create the storage resources. Enter or select the required storage details presented by the application, then select Next.

The storage destination should be selected in accordance with your organization's Azure storage and data-retention requirements. Verify the selected storage resources before continuing.

#### **Stage 2: Configure Connections**

The Connections step configures the connections Backup4Dynamics uses to access the required Dynamics 365 and Azure resources for backup operations.

#### **Quick Setup**

Select Quick setup (recommended) to allow Backup4Dynamics to create the required application connection automatically. Review the service principal information displayed on the screen, then select Configure & Next.

This will start creating resources.

This will start configuring the connections

#### **Manual Setup**

Select Manual setup when the administrator needs to use existing connections. Configure the required connection details as prompted and select Configure & Next to continue.

Use Manual setup when your organization already manages the required application registrations or connections and wants Backup4Dynamics to use those existing resources.

#### **Stage 3: Select Entities to Back Up**

* The Entities step determines which Dynamics 365 tables are included in the backup schedule.
* Review the entities displayed in the list.
* Use the Filter entities field to locate a specific entity.
* Keep the required entities selected for backup.
* For an entity that is not selected and does not have Change Tracking enabled, select Enable to enable Change Tracking before including it.
* Deselect automatically selected entities that should not be included in the scheduled backup.
* Select Next after confirming the final entity selection.

#### **Stage 4: Set Frequency and Start Time**

* The Schedule step determines how frequently Backup4Dynamics runs the scheduled backup and the time at which the backup starts. The Start Time field is specified in UTC.
* Open the Frequency list.
* Select the required frequency. The available options shown in the application are Interval and Daily.
* Enter or select the Start time.
* Review the selected frequency and start time.
* Select Activate backup schedule to enable the configured schedule.

**Manage the Active Backup Schedule**

After the schedule is activated, the Backup schedule page displays the configured storage, schedule, and entity information. Use this page to review the configuration and control whether scheduled backups remain enabled.

<figure><img src="https://272130504-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F-M0QoyqUVI8_HaZ9FOSL%2Fuploads%2Fp1RKSsaFGeF2rhXLZ0J7%2Fimage.png?alt=media&amp;token=3e7349d5-ea59-4960-a61a-f6c4a299d1c5" alt=""><figcaption></figcaption></figure>

#### **Pause Scheduled Backups**

To temporarily stop future scheduled backup runs, turn off the Backup schedule enabled toggle. Turn the toggle on again when scheduled backups should resume.

#### Edit Backup Schedule

Administrators can modify an existing backup schedule to change storage location, connections, entities included in backups, or backup frequency and timing. Access the backup schedule configuration through the Backup4Dynamics application home page and update the required settings.
