# BPF Pinning - Global & Personal Pinning

Pinned Business Process Flow (BPF) on Kanban Board — Global & Personal Pinning Explained

Pin BPFs on the Kanban Board to standardize processes across teams (Global Pins) or let users prioritize their own workflows (Personal Pins). Personal pins always take precedence. This feature supports view-specific pinning and global defaults for every view.

Enhance productivity with Global and Personal Pinning for Business Process Flows (BPF) on the Kanban board. Admins can set Global Pins (dark blue) to standardize key processes for all users, while individuals can use Personal Pins (white) to prioritize their own workflows. This flexibility empowers teams to align on shared processes while allowing each user to customize BPFs based on their personal or project-specific priorities.

**Why BPF pinning matters**

BPF pinning makes the most relevant Business Process Flow appear automatically on the Kanban board. This boosts productivity by removing manual switching, helps enforce standardized processes across teams, and still lets individuals customize their view.

**Pin Priority (display order)**

When deciding which BPF to show the Kanban board will check in this order:

1. View-based user-level pin (light green) — shown if present for the user and view.
2. User-level pin (all views) (white) — shown if present and no view-specific user pin exists.
3. View-based global pin (dark green) — shown for all users unless overridden by personal pins.
4. Global pin for all views (dark blue) — default shown only if none of the above are set.\
   (Personal pins override global pins.)

### **How to pin: step-by-step process for End user/ White Pins**

Consider, you’re on the Kanban board (e.g., Opportunity → My Open Opportunities).

1. Open the view you want (e.g., *My Open Opportunities*).
2. Locate the pin icon in the board header.
3. Pin for this view only (user view-specific) — ***Right-click*** the pin → choose **“Pin for this View”** → select the BPF (e.g., *Sales Process*). The pin will appear <mark style="background-color:green;">**light green**</mark> for you in that view.

For example, Alice opens My Open Opportunities, right-clicks the pin and pins Sales Process for *this view only*.

**Result:** Only Alice sees Sales Process when she opens *My Open Opportunities*. The pin shows light green for Alice.

4. Pin across all views (user personal) — ***Left-click*** the pin → choose the BPF → the **pin** becomes **white** and that BPF will load in every view you open (unless a light-green pin exists for a specific view).

For example, Bob left-clicks the pin and selects Lead to Opportunity for *all views*.

Result: Bob sees Lead to Opportunity on every Kanban view he opens unless he creates a view-specific pin later. The pin shows white.

**Quick checks:** If you expect to see a BPF and don’t, confirm whether you or an admin set a different pin for that view and check the color legend.

### How to pin: step-by-step process for admin/global pin

Requires admin privileges (users with permission to set global Kanban defaults).

1. Open the target view (e.g., *All Opportunities*).
2. Set view-specific global pin (dark green): ***Right-click*** the pin → **“Pin for this View (All users)”** → choose the BPF. This will be the default for all users unless a user sets a personal pin.

For example,

Admin pins Sales Process as a global view-specific pin for *My Open Opportunities* (dark green).

Carol does not set personal pins — she sees Sales Process by default.

This BPF will automatically load as the default for all users. If a user has already pinned their personal BPF for that view, their personal selection will take priority.

A <mark style="color:green;background-color:green;">**Dark Green Pin**</mark> to visually indicate that a BPF has been pinned for a specific view.

3. Set global default across all views (dark blue): ***Left-click*** the pin → choose **“Pin for All Views** (All users)” → choose the BPF. This acts as the system default if no other higher-priority pin exists.

No user-level or view-level pins exist.

Admin set a dark blue global pin: Lead to Opportunity.

All users see this as default across views until someone sets a personal pin.

4. Notes: Personal pins override these settings. Use view-specific global pins to standardize processes for targeted teams or project views.

Admin /user can pin a BPF at the personal level (specific view) and an admin can set a global level BPF for all users.

Personal pins give first priority and override global pins for that user.

Global pins are applied to other users who do not have personal pins.

### BPF Pinning Priority in Kanban

Pin BPFs globally or personally to make a process appear automatically on the Kanban board. Personal pins override global pins.\

**Steps (user):**

1. Open the Kanban board and the desired view (e.g., *My Open Opportunities*).
2. To pin for this view (personal): Right-click the pin → Pin for this View → choose BPF. (Light green shown.)
3. To pin for all your views (personal): Left-click the pin → choose BPF. (White shown.)
4. To unpin: left/right click → Unpin.

**Steps (admin):**

1. Right-click the pin → Pin for this View (All users) → choose BPF (dark green).
2. Left-click the pin → Pin for All Views (All users) → choose BPF (dark blue).
