Marketing4Dynamics – Mailchimp to Dynamics 365 Sync Overview

1. Audience Sync

  • User selects a Mailchimp Audience to sync with Dynamics 365 (e.g., Audience A, Audience B)

  • User chooses or creates a Static Marketing List (Contact/Lead) to associate with the selected Audience — this list will store all synced members from Mailchimp

Two sync modes:

  • Full Sync → Syncs the entire Audience — Tags, Interests, and Members (Contacts/Leads) — to CRM

  • Populates the associated Marketing List with: List Type = Static, Member Type = Contact/Lead, Members Count = [reflects synced member count]

  • Sync Only → Syncs only Audience-level information (Tags and Interests) to CRM, without their Members

2. Campaign Sync

  • User selects the Campaign to sync to CRM, with auto-sync activity enabled (e.g., Campaign A, Campaign B)

  • Syncs the campaign's Recipients, Statistics, and Activities to CRM

  • Fetches activities for the configured auto-sync period

  • Syncs Campaign Activities based on Auto-Sync Settings, branching into two parallel flows:

a. Sync Recipients

  • Checks "Contact/Lead Record Exists?"

  • Yes → Syncs the Campaign Marketing Activities.

  • No → Creates the Contact/Lead record in CRM along with their activities

b. Sync Subscription Status (Opt-In/Opt-Out)

  • Subscribe → Sets the subscriber status as Subscribed

  • Unsubscribe → Sets the subscriber status as Unsubscribed
