## 1) What to do when all the syncs (Marketing Lists/Campaigns) are stuck in 'In Progress' status and there are no error logs created?

There are Power Automate Flows that take care of the whole syncing process. In case of above situation, please check if all the flows are turned on for the environment by following the steps given below:

* Sign in to **flow\.microsoft.com**
* Click on **Solutions** --> Open **Marketing4Dynamics Mailchimp Integration** solution.

* Click on **Cloud flows** --> Verify if the status of all the flows is **'On'** --> If any of them is turned **'Off'**, kindly turn them **'On'**.

* After turning on the flows sync the respective Marketing Lists/Campaigns.

## 2) What to do if there is a lack of space for Database storage in the environment due to excess Inogic-related logs?

To mitigate this issue, you can do two things:

1. &#x20;Stop plug-in trace logs that were previously turned on.
2. &#x20;Start a bulk deletion job that will delete Marketing4Dynamics Log records that are older than 2 months.

**1) To stop the plug-in trace log follow the steps given below:**

* Click on the **gear icon** -->Select **Advanced Settings**.

* Go to **Administration** -->Select **System Settings**.

* Click on **Customization** --> Set **'Enable logging to plug-in trace log'** to **Off** -->Click on **OK**.

This will turn off the plug-in trace log.

**2) To delete previously created logs follow the steps given below:**

* Go to **Advanced Settings** --> Select **Data Management** -->Select **Bulk Record Deletion** --> Click on **New**.

* Click on **Next**.

* Define which records you want to get deleted by using the below query. ***(Note:- You can choose to delete records older than 1 month as well).***

* Give a relevant name to the bulk deletion job. Select at what time you want to start this job. ***(Note:- You can choose to run this job every 60 days if you want to by turning the option on).***

* Click on **Next** -->Submit the bulk deletion job.

## 3) What does the below error mean and how to resolve it?

The above error occurs when you have inserted the wrong URL while connecting Mailchimp to CRM. The URL should look something like "<https://us6.api.mailchimp.com/3.0/>" and not "[~~https://us6.admin.mailchimp.com~~](https://us6.admin.mailchimp.com)~~"~~

## 4) **Can I use a Dynamic Marketing List in Marketing4Dynamics to sync CRM data with Mailchimp?**

Yes, you can use a **Dynamic Marketing List** with Marketing4Dynamics.

A Dynamic Marketing List is based on conditions (filters), so members are added or removed automatically depending on whether they meet those conditions.

**How it works with Marketing4Dynamics:**

* When you sync a Dynamic Marketing List, the system evaluates the list at that moment.
* All the members that currently match the conditions are synced to Mailchimp

**Important point:**

* Since the list is condition-based and keeps changing, you need to **manually trigger the sync each time** to reflect the latest data in Mailchimp.

**Key point:**

* You don’t manually manage members in a dynamic list - it updates automatically based on the defined criteria.

## 5) What to do if the "No import packages were found. Exiting the program" error message pops up when trying to install Marketing4Dynamics?

**To resolve this issue, follow the steps given below to install Marketing4Dynamics:**

* Extract the zip file you’ve downloaded and right-click on *Inogic.Marketing4Dynamics.PackageDeployer.dll* file inside the *Marketing4Dynamics\_PackageDeployer* folder.
* Click on **"Properties."**

* Click on the checkmark beside **"Unblock."** Click on **"Apply"** and then **"OK."**

* Click on **PackageDeployer.exe** again and follow the next steps from the **ReadMe.md file.**

## 6) How to identify the number of users in my CRM that will be considered for licensing?

**Step 1:** Log in to CRM and open the Sales Hub App

**Step 2:** Click on the Advance Find Option present in the right top corner (shown below)

**Step 3:** In the search bar, search for **“User”** keyword. Select the **User** entity and click on the **Continue** button

**Step 4:** Once clicked, a side panel will show up containing default conditions. Clear the condition by selecting **“Delete all Filters”** and apply the below conditions in the filter section as shown below

a. **Status** Equal **Enabled**

b. **Access mode** Equal **Read-Write**

c. **Restricted Access Mode** Equal No

d. **User Licensed** Equal **Yes** (Only for Online CRM)

e. **Primary Email address** Does not Equal **<crmoln2@microsoft.com>**

**Step 5:** Add a new related entity condition, where you will find the **Security Role** option under the **Many to many** sections as shown below

**Step 6:** By default, **contains data** Operator will be selected which will retrieve only those users who have a security role assigned.

Delete the related entity field condition as shown in the screenshot below and then click on the **Apply** button to provide you with the list of respective users.

## 7) What are the steps to export Log in an Excel sheet?&#x20;

**Step 1:** Click on **‘Advance settings’** and open **'Advance find'** in CRM.

**Step 2:** In the **'Look for'** dropdown, select Marketing4Dynamics Logs entity.

**Step 3:** Now click on the **‘Edit Columns’** button and then click **‘Add Columns’.**

**Step 4:** After clicking on '**Add Columns'**, you have to select all options present inside the Common Task section and then click on the **OK** button.

**Step 5:** Once again click on the **OK** button on Edit Column window.

**Step 6:** Click on the **Result.**

**Step 7:** Now click on the '**Export Marketing4Dynamics Logs'** button dropdown and then click on the Static Worksheet option.

**Step 8:** In a short time, an excel file will be downloaded for offline consumption.

## 8) How do you copy and paste the API key when encountering the following error while connecting CRM to Mailchimp?

Based on the screenshot, it seems that you've entered an incorrect URL while connecting your CRM to Mailchimp.

The standard format for the URL should be: **“<https://us6.api.mailchimp.com/3.0/”>.** You can simply copy this URL and replace the **‘us6’** part with your specific data center, such as **‘us2’, ‘us11’,** etc.

## 9) How to verify if our product includes a feature that provides visual analytics or statistics displaying a list of recipients who have opened an email once and more than once.

Yes, our product does include a feature that allows you to view visual analytics/statistics showing a list of everyone who has opened an email once or more than once.

You can access these statistics through the following entities:

1. **Campaigns**

To view the statistics for a specific campaign sent via Mailchimp: (Before proceeding with further steps, make sure you have already synced the Campaign from Mailchimp to CRM. To know more about Campaign syncing you can follow this [link](https://docs.inogic.com/marketing4dynamics/configuration/sync-campaigns)).

**Step 1:** Navigate to the **"Campaigns"** entity in your CRM. &#x20;

**Step 2:** Select the relevant campaign.

**Step 3:** Click on **"Statistics"** to see the list of records that interacted with your campaign, including those who opened the email.

2. **Marketing Activities**

**To view statistics for email opens through Marketing Activities:**

**Step 1:** Navigate to the **"Marketing Activities"** entity in CRM.

**Step 2:** Filter the campaign for which you want to view the statistics.

**Step 3:** Click on Campaign & click on **“Filter by”** and use the condition as **“Equals”** and Select the particular campaign of which you want to see the statistics/activities.

Additionally, in the **"Dashboards",** you can view comprehensive data on overall marketing activities conducted through Mailchimp. The graphical representations, such as charts and graphs, make it easy to analyze the performance of various campaigns over time.

## 10) After importing Marketing4Dynamics solution from website all the Processes of Marketing4Dynamics is in a 'Draft/Deactivated' state. What to do?

Once the solution is imported, please follow the steps below to activate all processes for **Marketing4Dynamics**.

## 10) How does opt-in and opt-out (subscription management) work between Mailchimp and Dynamics 365 in Marketing4Dynamics?

Marketing4Dynamics manages opt-in and opt-out through the subscription (subscribed/unsubscribed) status, with Mailchimp acting as the source of truth for consent and subscription management.

* When a contact unsubscribes in Mailchimp, this status can be synced back to Dynamics 365 through audience sync, campaign sync, or marketing list sync, updating the contact’s subscription status in CRM.
* If a contact is re-subscribed in Mailchimp, performing the sync again reflects the updated status in Dynamics 365.
* Newly created contacts in Dynamics 365 are added as subscribed members in Mailchimp during synchronization.
* Marketing4Dynamics does not automatically re-subscribe contacts who have unsubscribed, ensuring compliance with Mailchimp policies and data protection regulations.

In summary, Marketing4Dynamics always respects the subscription status maintained in Mailchimp and keeps Dynamics 365 aligned with it in a compliant and controlled manner.

## 11) How to Check a User’s Security Role?

To check a user’s security role follow the below steps:

* Navigate to Advanced Settings.

## 13) How can I check the sync jobs for related contacts or leads that are in **Error** status?

To review the sync jobs for contacts or leads that are showing an Error status, please follow the steps below:\
\
1\. Navigate to the **relevant Marketing List** that contains the contacts or leads currently in error status.

2\. Open the specific **contact or lead record** that you want to investigate.

3\. Within the record, go to the **Marketing Details** tab and locate the section for **Failed Sync Jobs**.

4\. Open the corresponding failed sync job record to view the **detailed error description** and identify the root cause of the issue.

## 14) What should I do if I encounter the error: "TooManyRequests: You have exceeded the limit of 10 simultaneous connections"?

You can reduce the degree of parallelism in the flow to resolve this issue. Try decreasing the degree of parallelism initially by 10 from the current value to limit the number of simultaneous executions.

Steps to reduce the degree of parallelism:

Navigate to [Power Apps](https://make.powerapps.com/) → Solutions → Managed → Look for Marketing4Dynamics

Inside the solution, go to Cloud Flows → Look for “Marketing4Dynamics - CRM To Mailchimp Sync Marketing List” (typically the 6th flow from the top)

Open that flow and click on Edit.

Now, inside the flow:

Expand the last step “Check if Dynamic list or Static list based on Member Count Field.”

In the Yes condition, expand, “If Member Count is lesser than 5000.”

Now, after expanding it, look for “Apply to each parse JSON less than 5000” and “Apply to each parse JSON greater than 5000” and click on the three dots (…) → Settings for both of them

Reduce the Degree of Parallelism value by 10.
